Our client is a Fintech company with a focus on transforming lives through financial inclusion to ensure the unserved market have access to credit.

Our client would like to fill the position of a Receptionist who will be reporting to the Customer Experience Team Leader.

Job Purpose/Summary
The primary role of the Receptionist is to effectively and efficiently manage the front office desk in a manner that ensures first class service for external and internal clients, guests and potential guests and clients and undertake a range of other administrative tasks.

Duties and Responsibilities

Office Building
• In liaison with the security team, ensure the offices are opened in the morning and locked in the evening.
• Ensure that the front entrance of the building is clean.
• Switch on all lights and check cleanliness of the interior, making a record of any poor levels of cleanliness or any maintenance issues and take necessary steps/action to remedy.
• Ensure that the kitchen is well stocked with milk, sugar, tea and coffee.
• In liaison with the cleaning team, ensure all toilets are well stocked with toilet paper, hand towels, linen roller towels and hand soap.

Telephone System
• Operate the switchboard during working hours; receiving and transferring telephone calls, announcing callers, taking brief messages and passing these on via the email system or connecting callers to staff members personal direct line voicemail.
• Ensure all voicemail messages to main office number are taken and directed to staff members.
• Report telephone equipment and line faults to the IT team
• Train all new staff in the operation of the telephone system, as part of the new staff induction process and take a pro-active approach to ensuring existing staff are properly trained on making full use of the system.
• Review and update on a regular basis the staff contact and telephone extension lists.

• Manning the reception desk with a high degree of poise and professionalism
• Welcome on-site visitors, determine nature of business and announce visitors to appropriate personnel.
• Receive and direct phone calls and enquires as appropriate to staff and clients.
• Respond to general enquires with accurate information.
• Record, sort and date stamp incoming mail and courier deliveries.
• Coordinate courier services to ensure deliveries are made on the same day and delivery notes are received and filed.

Office Services
• Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
• Ensure operation of all equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

Minimum Requirements
• A Diploma in Business Administration, Front Office Operations or its equivalent.
• 2-5 years’ work experience in front office reception support services in a busy organization.
• Proficiency in Ms Office, planning tools, using a computer, printer & scanner.
• Knowledge of office administrative and clerical procedures are highly desirable.
• Switch board operation experience will be an added advantage.
• Mastery in written & spoken English is highly desirable.
